Information about sales, items and prices
The terms and conditions apply when booking accommodation via the booking form on this website. All hotels and room types available are listed together with the prices. Detailed information about the options is presented in the booking form.
All accommodation bookings have to be made via the online booking form that will be open on this website from November 2020 until 15 March 2021.
Payments can be made:
- via bank transfer after receiving the invoice - any resulting bank charges are to be paid by the Symposium participants.
- by credit card, available for Visa and Mastercard users (there is no additional fee);
- or an Estonian direct bank link (bank charges may apply based on the service provider).
Accommodation at the Scand-LAS 2021 Symposium is subject to a fee. Please fill in all compulsory fields and make the selections of your accommodation. At the end of the form, you will see the total sum of your selections. You can then preview your booking form and submit the booking, then making a selection between payment by credit card or Estonian bank link or to receive an invoice. If you wish to pay by bank transfer, you will get the invoice via e-mail within an hour after submitting the booking. If you choose online payment, you will be directed to the website of the online payment service provider Maksekeskus and the invoice will be sent to you automatically after successful payment. We can only accept euro-payments.
The accommodation booking is binding for the participant. The booking is confirmed when the payment has been received. The fees are to be paid in advance, payment options will become available after a successful booking.
The number of rooms available in each hotel for each night is limited. You can only make selections where there is still availability. If there is an error with the system, we will notify bookers as soon as possible and refund money for the selections that are no longer available within 14 days.

After filling in the booking form, an automatically generated confirmation e-mail will be sent to the e-mail address inserted in the form free of charge. The e-mail contains a pdf link with the booking data which can be downloaded and serves as written confirmation. If you chose payment by bank transfer, the invoice will be sent after a successful booking. If you chose payment by credit card or bank link, the invoice will be sent after successful payment.
If you notice a mistake in your booking data, please contact the secretariat at your earliest convenience. If you need some information on the invoice to be changed (e.g. a night to be added, a VAT number to be added, the payment deadline extended), please contact the secretariat. Please send an e-mail to firstname.lastname@example.org.
Processing personal data
The secretariat will process the personal data (such as the name, phone number, address, e-mail address) inserted into the booking form only in relation to the accommodation booking you made.
Should you cancel your accommodation booking at the Symposium by January 13, 2021, the payment will be refunded, minus an administration fee of 35€. Should you cancel your accommodation booking by February 13, 2021, 50% of the payment will be refunded, minus an administration fee of 35€. In the event of a cancellation after February 13, 2021, no refund is possible. Refunds will be processed within two weeks after receiving the cancellation request.
Please submit your cancellation to the Secretariat in writing via e-mail: email@example.com. Cancellation requests must identify the registrant’s name, email address, the amount paid and bank details. Cancellations cannot be made directly to the hotel, these are not considered valid cancellations. Name changes are free of charge, but these need to be reported to the secretariat via e-mail at least 48 hours before the beginning of the booking period.
In the case of force majeure events (such as natural disasters, travel restrictions, strikes, epidemics etc.) or any other major events that are beyond the control of the party in question such as governmental or other restrictions, Publicon PCO shall not be liable for any failure or delay in performing their obligations. Publicon PCO and the organising committee reserve the right to cancel or postpone the symposium, which will bring about a revision of the accommodation terms&conditions and cancellation terms. The organisers reserve the right not to refund accommodation fees in full in order to cover organising costs, the proportion of the refund (if at all) will be deliberated by the organisers based on the force majeure situation. All registrants will be notified about updates via e-mail after such decisions have been made by the organising committee. The organisers will not be liable for any costs or damage that might befall the participant in relation to the event being cancelled or postponed or taking place in a decreased capacity.
